How to write WhatsApp templates that actually get approved fast

Practical guidance on writing WhatsApp Business templates that clear Meta's approval process without repeated rejections.

A rejected WhatsApp template isn't just an inconvenience — every rejection delays a campaign and, if it happens repeatedly, can affect how Meta's systems view the business account overall.

The most common rejection reason is vague or generic language that reads like spam — templates with excessive capitalization, urgency phrases ('LAST CHANCE', 'ACT NOW'), or unclear sender identity tend to get flagged automatically before a human even reviews them.

Templates that clearly identify the business, state a specific and factual offer or update, and avoid variable placeholders that could be filled with anything (a known abuse pattern) clear review noticeably faster.

Category matters too — a template meant for order updates should be submitted under a utility category, not marketing, since mismatched categorisation is a frequent, avoidable rejection reason that has nothing to do with the actual content.

For businesses sending templates regularly, it's worth keeping a small library of pre-approved, flexible templates for common scenarios — booking confirmations, renewal reminders, order updates — rather than writing a new one from scratch each time and risking a fresh rejection cycle.
