WhatsApp auto-reply for business: setup guide and message templates

How to set up WhatsApp auto-reply for your business, with templates for common scenarios.

WhatsApp auto-reply is the simplest form of automation available to a business — a pre-written message that goes out automatically the moment a customer messages, without needing the full complexity of a qualification flow or CRM integration.

Setup on the free WhatsApp Business App takes just a few minutes: a greeting message for new contacts, an away message for outside business hours, and quick replies for frequently asked questions — all configurable directly in the app's settings without any technical help.

For outside-hours messages, the strongest templates set a clear expectation rather than a vague apology: 'We're closed right now (open 10am-8pm) — we'll reply first thing tomorrow. For urgent queries, call [number].' This tells the customer exactly when to expect a response instead of leaving them wondering.

For common questions — pricing, hours, location — a quick-reply auto-response saves significant time without needing full automation: 'Our [Product/Service] pricing starts at ₹[X]. Want more details, or would you like to book directly?'

The limitation of basic auto-reply is that it can't hold a real conversation past the first message — for a business getting enough volume that this becomes a bottleneck, that's the natural point to move from simple auto-reply to a fuller automation or AI-driven system that can actually converse rather than just acknowledge.
